POSITION OVERVIEW:
The Program Assistant will report to the Chief Program Officer overseeing the Employment, Education and Advocacy efforts for the New York Urban League. The Program Assistant will provide overall administrative and operational support to ensure effective and efficient implementation of programs and services.
KEY RESPONSIBILITIES INCLUDE:
Proficiency in modern business communications including computers, email, voicemail, fax and copier equipment.
Three years of programming and/or administrative experience.
Excellent communication, writing and interpersonal skills.
Experience with/knowledge of best practices in business administration, social services, youth development and/or workforce.
PHYSICAL REQUIREMENTS:
Ability to speak clearly.
Ability to use a computer for prolonged periods.
Ability to climb five flights of stairs.
Ability to occasionally lift and/or move up to 10 pounds.
Ability to manipulate objects with fingers rather than with whole hand or arm, for example, using a keyboard or phone.
Ability to work outdoors and travel for a minimum of 1 mile within a reasonable amount of time in all types of weather, including inclement weather.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Support the day-to-day administrative needs of the programs’ department.
Provide overall data entry support for program initiatives.
Manage programming logistics such as securing meeting spaces, ordering catering and supplies, organizing participant registration, supporting in-person and virtual meetings and events.
Process and monitor requests for payment and/or reimbursements for the programs department.
PROGRAM SPECIFIC RESPONSIBILITIES:
Meet regularly with the Chief Program Officer & Program Directors to assess ways to support program initiatives.
Develop and manage the department’s program calendar to streamline scheduling and support of program activities.
Support the recruitment and retention initiatives on behalf of the program’s department.
Participate in professional development initiatives through individual and/or group supervision, attendance at conferences, workshops, seminars, or webinars.
Submit monthly reports reflective of goals, progress and upcoming projects.
REQUIRED EDUCATION, COMPETENCIES, SKILLS AND ABILITIES INCLUDE:
Associate degree with at least three years of professional work experience, particularly in nonprofit, business administration or social services or High School Diploma with five years professional work experience.
Skilled in interacting with and building relationships and collaborative efforts with diverse individuals, employers and partners.
Strong oral and written communication, time management and organizational skills are necessary.
Ability to interact appropriately with people from diverse socio-economic, racial, ethnic and varying cultural groups.
Proven capacity to work independently and in a group setting, be proactive, and take
initiatives to offer support, recommendations and best practice solutions.
Comfort with ambiguity and change in a collaborative professional work environment with the ability “get things done”.
Bilingual (English/Spanish) preferred.

Salary range: $47,000-$50,000
